Position Overview
The Program Coordinator is primarily responsible for supporting the Collaborative Discussion Project (CDP) and other IF programming.
This coordinator role is responsible for managing digital content and platforms, coordinating communications and outreach, and assisting with program delivery. This role maintains and updates CDP systems, supports the creation and promotion of program materials, and ensures clear, consistent communications aligned with IF’s brand.
The Coordinator also provides administrative and technical support for training and events, manages registrations and data systems, and co-facilitates programs alongside the IF team. In addition, the role engages with participants, coaches, and partners to support a growing community of practice while contributing to overall program effectiveness.

Key Responsibilities
1. CDP Content Management
Maintains and organizes CDP systems and applications
- Organizing program materials (Google Suite)
- Project management tools (Asana)
- Design and brand assets (Canva)
- IF Academy content (Thinkific)
- Newsletters (Substack)
- Toolkit (Wix)
- Certificates and Badges (Badgr)
Additional CDP tasks
- Updates and maintains the online CDP toolkit and resources on the CDP Website (Wix) and IF Academy (Thinkific), including member accounts and other resources for coaches and the toolkit activity pages. Track online analytics.
- Supports IF Communications to promote the CDP, advance recruitment and event registration, etc. together with the CDP team and Communications Director.
- Creates graphics and visual promotional materials for web and email communications (Canva).
- Coordinates and schedules newsletters to promote CDP programming and resources and provide updates about the program to the CDP community as needed (Substack).
- Provides proofreading and compliance checks on communications and brand and style guide.
2. Program Delivery
- Represents IF and the CDP at events.
- Supports the development of new CDP Toolkit activities by providing templates, resources, review and editing, etc.
- Co-facilitates programs together with CDP Team and Director of Education both virtually and in-person.
- Engages with CDP community of practice and other stakeholders and program participants as appropriate.
3. Administrative & Technical Support
- Provides technical and administrative support for webinars, workshops, trainings, and other CDP programming.
- Provides technical and logistical support for CDP outreach and public facing engagements.
- Responsible for administering pre/post program communication and surveys.
- Supports material development for programs and events (i.e. welcome packets, workbooks, etc.)
- Updates and maintains various survey forms, documents, and spreadsheets related to event registrations, certificate programs, coaches, partners, etc.
- Supports CDP Shared Google Drive and helps to organize various subfolders.
- Manages event registration & related automations.
- Manages automations using Google and other tools currently used to support CDP programming (such as automations related to surveys, automated creating and awarding of letters of recognition/completion, digital badges, certificates, etc.)
4. Supports CDP Community Development
- Responds to inquiries submitted via the newsletter, CDP or IF website.
- Responds to inquiries and outreach from newsletter subscribers and connects them to appropriate staff and CDP resources.
- Connects CDP Coaches and other CDP & external partners to other team members, facilitating connection based on need.
- Helps other team members in supporting CDP Visiting Fellows, where needed.
- Helps other team members in engaging with and maintaining relationships with stakeholders, coaches, curriculum contributors, and other affiliates & partners.
5. Team Development & Engagement
- Participates in full team meetings, CDP team meetings, and other meetings where required.
- Supports Director of Education and other team members in developing and executing assessment strategies.
- Supports the Director of Education and other team members maintain the CDP or other program budgets.
Qualifications
Required Experience & Skills
- Experience supporting content and digital platform management (e.g., Google Workspace, Wix, Thinkific), with strong organizational skills for managing shared resources and information.
- Ability to assist with website and Learning Management System (LMS) updates; familiarity with digital credentialing tools (e.g., Badgr) a plus.
- Strong written communication, editing, and proofreading skills, with experience drafting newsletters and content for diverse audiences.
- Experience developing and formatting program materials (e.g., discussion guides, toolkits, learning resources) and creating visual and digital content (e.g., Canva), with a strong focus on clarity, accessibility, and alignment with brand voice.
- Ability to support outreach and communications efforts that promote dialogue, participation, and community engagement.
- Strong project coordination skills, with the ability to manage multiple tasks and support the delivery of programs, trainings, and events.
- Strong interpersonal and collaboration skills, with a demonstrated interest in fostering inclusive dialogue, civic engagement, and meaningful connection across diverse communities.
- Small group facilitation experience is a plus.
